Technical instructions for using Zoom

Zoom has good documentation on setting up and managing meetings and webinars and on audio, video, screen sharing and recording. Much of this documentation is available in several languages. 

You may start at https://support.zoom.us/ to find it, or you may follow step by step instructions provided by Tampere team in case you need Tampere to host your online Zoom session or if you need more detailed instructions:

Join a Zoom video meeting with a link 
The coordinator of the session will send you an email with a link to join the meeting. You can join a video meeting on Windows, Mac, Linux, iOS, and Android devices. 
You do not need to have a Zoom ID / user profile or log into Zoom.

Open the link with a web browser. 
If the browser asks permission to launch the Zoom application, accept it.
When Zoom is installed, it will start automatically. In other cases, there are alternative ways to join in the browser window. 

1. Select "click here" if Zoom is already installed on your device but did not start automatically.
2. Click download & run Zoom to download the Zoom application and run it.   

When the Zoom application starts, the Audio setting dialog box opens. The default option is to join a video meeting using a computer audio connection (Computer Audio). 
Select Computer Audio, and then click "Join with Computer Audio" to join the meeting. You can also test your audio connection before joining a meeting in Test speaker and microphone. 

Join using the meeting ID on the Zoom client
If you already have Zoom installed on your device, click the Join button and insert the Meeting ID. 

Test your audio devices
You can test your speakers and microphone before joining the meeting with Test speaker and microphone link.

In Zoom meeting window, you can find the meeting controls at the bottom of the window:

  • Mute/unmute microphone (and select microphone/speaker)
  • Start/stop video (select camera)
  • Participants: participant list 
  • Share: sharing your screen or specific application
  • Chat
  • Record: record your meeting 

Sharing your screen
Zoom allows for screen sharing on desktop, tablet and mobile devices running Zoom. 

1. Start sharing with Share Screen button located in your meeting controls.
2. Select what to share:

  • Screen: everything you see is also shared with other participants. Use this if you switch between applications. To avoid showing private information, turn of notifications or close email and messaging applications.
  • Application: Show only one specific application. Application needs to be open and running before it's listed in Zoom.
  • Whiteboard

3. If you show/play video or audio files and want to share any sound played by your computer, select Share computer audio.
4. Click Share
When you start sharing your screen, the meeting controls will move into a menu that you can drag around your screen.
Sharing controls:

  • New Share: Switch to a new screen share.
  • Pause Share: Pause your current shared screen.
  • Annotate: Display annotation tools for drawing, adding text, etc. 

5. Click Stop Share button to stop sharing.

Recording your meeting
Sessions will be recorded by IT support, but the session host can also record the meeting as a backup. You can record your Zoom meeting to a local MP4 video file. Audio, current speaker's camera video and shared screen are recorded to the video file.
